Personnel Essentials

Access forms for personnel updates and other lists showing those associated with Georgia AIM.

Quarterly Reporting:

The quarterly report (survey) is provided by the Purdue Center for Regional Development. To streamline the reporting process, we have shifted from Smartsheet to Qualtrics. Qualtrics is the same platform used by the Purdue Center for Regional Development (PCRD). The aggregated data will be submitted to the Economic Development Administration (EDA) by the Community Engagement Project Governance team.

Quarterly reporting schedule
Semi-Annual Reporting:
Semi-annual reporting deadlines are April 30 and Oct. 30. These reports will be submitted to the EDA by each project lead.

First reporting period: Oct. 1-March 30 (due April 30)
Second reporting period: April 1-Sept. 30 (due Oct. 30)

FINANCIAL RESOURCES

The Georgia AIM governance team is required to report the progress and deliverables of the eight Georgia AIM projects to the U.S. Economic Development Administration (EDA). The Financial Management and Monitoring Form is used by coalition members to gather information that will assist Georgia Tech’s Enterprise Innovation Institute in supporting financial stewardship of the projects.

Expense reimbursements: To submit expenses related to Georgia AIM projects (such as mileage), use the Georgia Tech Workday system (GaTech employees) or email Melissa Buchanan with questions.

CHECKLIST FOR PROJECT LEADS

ADDITIONAL RESOURCES

Data Dashboard (Beta)
Metrics collected from our reporting cycles feeds into a dashboard used to monitor long-term project goals, metrics, and financials. This dashboard is under development by the EI2 leadership team and will be used as a case study for future projects with structures similar to Georgia AIM.
Dropbox File Storage

Dropbox allows us to store and share files. We request that all coalition members store content related to Georgia AIM in their project folders (that only they have access to). The Enterprise Innovation Institute (EI2 ) project management team will also share content on Dropbox via the “General” folder.

Do you or a team member need access to Dropbox? Please fill out our Dropbox Access Form. (View the aggregate form.)

Project Plan

For more details on the Grant Administration Plans (GAPs) and metrics/goals, view the Georgia AIM Project Plan via Smartsheet.

MARKETING & COMMUNICATIONS

Logos & Branding

In October 2023, Georgia AIM updated its official logo to include the phrase, “Artificial Intelligence in Manufacturing.” All projects should be using this version of the logo, which is available in horizontal and vertical formats in a variety of colors.

Stories, Photos and Graphics

Georgia AIM’s Marketing Strategist maintains a Dropbox folder of images and stories related to Georgia AIM events, as well as logos, a branding guide, and social media content. If you are having problems accessing the Marketing Dropbox folder, please email Kristen Morales for access.

Partner projects are encouraged to add their own photos from projects/events to Dropbox. Please email Kristen if you have added content so she may share it on Georgia AIM’s channels.

Social Media

Projects are asked to tag Georgia AIM when posting about a related project on social media.
  • Facebook (@Georgia Artificial Intelligence in Manufacturing)
  • Instagram (@georgia.ai.in.manufacturing)
  • LinkedIn (@Georgia Artificial Intelligence in Manufacturing)
  • TikTok (link TBD)

Communicating within Georgia AIM

To email the entire Georgia AIM coalition, use the group distribution list GeorgiaAIM@groups.gatech.edu. Each member on this list supports the Georgia AIM program in some capacity. Visit the Coalition Members Directory for a complete list of the roster and roles, or to make an update.

Request a story or photos

If you would like a story or photos to document a aspect of your project, please email Kristen. Georgia Tech employees may also request coverage via EI2’s communications team.

Communicating Outside of Georgia AIM

Throughout the year, Georgia AIM will send official communication to internal and external partners and contacts. These contacts come from Salesforce and emails will be sent through Active Campaign. It’s imperative that Salesforce contacts are updated regularly, to ensure quality lists and advance our goals as a project.

The best method of adding new contacts is through Salesforce, which will sync contacts with ActiveCampaign. Also, by providing the Community Engagement Manager with a list of event registrants, using the Georgia AIM questions provided above, we can ensure consistent, quality email contacts.

COMMUNITY ENGAGEMENT

Planning/Promoting Events

Planning an event related to Georgia AIM? Georgia AIM coalition members must enter future events into the Georgia AIM Events Calendar, which allows events to be promoted on the Georgia AIM website and social media channels.

When planning an event, we ask that you collect certain demographic information from participants. Our registration tool of choice is Eventbrite, but if a project uses a different tool for event registration, please adhere to the same questions.

HOW TO ADD AN EVENT:

  1. Double-click on the blue bubble on your event’s day on the calendar.
  2. The bubble will turn orange and this will open a calendar submission form.
  3. Enter as many event details as possible. Using this form will also alert Georgia AIM’s Community Engagement Manager and Marketing Strategist, who will reach out for additional information, if needed.
  4. To further identify your event, add the color that corresponds with your project.

Tracking Our Contacts

Georgia AIM is using Salesforce to keep track of contacts, events and actions related to coalition projects and metrics. Maintaining a list of contacts is vital to connecting across the coalition as well as across the state. Georgia AIM’s Community Engagement Manager maintains this list, but it is expected that each project also log new constituents and contacts, or provide .csv files of event attendees.
